The technical portion of getting your new online system up and running takes 3 business days. At that point, your team is trained on the new system and can begin loading your content. If you order additional services such as full-service setup (where we set up all your content for you) it adds 2-3 more days to the setup time.
A user account is required to access your system. Each user account is associated with a person and each person accessing your system is required to have their own user account. All accounts have access full access to the self-help base of resources including how-to videos, forums, and articles. However, only supported users have the abilty to contact Blue Utopa Support and receive direct assistance.
Essentially the answer is 'everything technical, plus all the training needed to make sure you know how to use your system'. We configure everything, import your records for you, set up your online donation page, even manage any DNS changes necessary. For the Full Online System, we do most of your website configuration, create custom email templates, route all your email notifications, connect your social profile pages, and even register your site with the main search engines. The only thing that we don't do as a part of your core setup is create your website content such as your images and text. We do have a professional services team that can help with this but it is not included in the technical setup.
Every time a visitor interacts with your website or an email, that adds to their data profile. In some cases, they might add themselves to a list (say volunteering for a specific function). In other cases, they might opt-out of receiving your emails in the future. Every time that happens, your email list (or lists) have to be updated. With an integrated system like Blue Utopia’s, this is all done for you, automatically. There is no need to spend your time importing your list or updating your list in any manual way. Plus you still have all of your supporter data in one place, rather than scattered over multiple systems. That saves you time and makes you better able to communicate more effectively to the right people.
Our clients are made up of political campaigns and nonprofits, which tend to be very cyclical in their activities and hence, the volume of email they send. Most vendors charge based on the number of subscribers on an email list but with cyclical groups, you end up paying for subscribers even in months that you don’t send many emails. Volume-based pricing allows you to scale up and down based on volume, rather than on number of supporters, which saves our clients money.

Absolutely and not at all. With our integrated system, you have individual supporters in your database and those supporters can be flagged to be on one or more email lists. This is in contrast to most email vendors, which charge you for each list and for each email address on that list, which means if you have 5 difference lists and someone is on 3 of them, you’re paying 3x for that one supporters. If your lists are thousands or tens of thousands large, that can be a considerable expense.
We look at your current website and create a dedicated online donation page that has the same look as your website. We then send you a widget for you to place on your website that links to your secure donations page.

Every time a donation is made, it is instantly posted to your dashboard. With this, you can get your donor information in real-time any time you wish. In addition, every Monday, we generate an online donation report for the previous week. That report is automatically posted to your dashboard and details all donations and charges and includes all the donor details needed for reporting.
The Basic system can be set up and ready to collect money within 1 business day. Because getting a dedicated merchant account takes 2-3 business days, the Pro version does take longer - typically about 4 business days.
With Pro, all funds flow directly to your account so funding is next-business day after settlement. With Basic and Startup, funding is weekly and typically takes 2 weeks for funds to settle to your account.
Not much. We already have a partnership with a major provider of merchant services and have built a very streamlined process for acquiring these. The only thing that is required of you is signing for the account.
